§ 1 General

The permanent protection of your personal data (e.g. name, country of residence, email address) is especially important to us. We will only process such data according to the provisions of German data protection law. The following regulations inform you about the type, scope and purpose of the collection, processing and use of personal data. This Privacy Policy only applies to our services and our platform. If links take you to other pages, please check how your data are handled there.

§ 2 Collection of Data of Our Website Visitors

(1) As a matter of principle, you can visit our websites without providing any personal information. We will only collect personal data that you give us voluntarily, e.g. by email or via an input or contact form. For example, you will be asked for such data if you want to register for our platform.
(2) Unless otherwise specified, we also process usage data for the purpose of granting you access to the web pages as well as the offers and services they contain, within the framework prescribed by applicable laws and as described in this Privacy Policy. For details, please read sections 10 to 12 of this Privacy Policy.

§ 3 Collection of Personal Data during Registration and Setup of a Survey

There are various ways in which you can participate in our platform. For example, you can set up an account as a Survey Manager or Research Enthusiast. Alternatively, you can use the "Supporter" function in order to support a Survey Manager (see section 2 of the GTC). For this, you do not need any account. In this context, we collect the following data:
(1) Data collection in the case of registration as a Survey Manager or Research Enthusiast: For the registration, please provide the following data, which we will store permanently in connection with your user account on our platform:
  • First name
  • Last name
  • Country of residence
  • Email address
  • Password
Furthermore, you can voluntarily indicate how you heard of SurveyCircle. For your user account, we will also save the information about your browser language in order to facilitate the contractual communication with you. You can always change the language setting in your user account to the languages available there.
(2) When you set up a survey at SurveyCircle as a Survey Manager, you must specify the following data, which are marked with an asterisk on our platform:
  • Role in which the survey is conducted (e.g. student, employee of a company)
  • Your university
  • Your field of study
  • Supervising chair/department
  • Reason for the survey (e.g. thesis)
  • Type of the research project (commercial/non-commercial)
  • Title and short title of the survey
  • Allotted time to complete the survey
  • Language of the survey
  • Link to your survey (URL)
  • Device compatibility of the survey (e.g. desktop computer, tablet, smartphone)
Additionally, you may specify or enter the following data concerning your survey:
  • Supervisor
  • Keywords
  • Other countries in which the survey is available
  • Preferred group of participants in the survey
  • Donation commitment
  • Voucher or gift raffle
  • Activation whether other participants' ratings of the survey are displayed
(3) If you want to support a Survey Manager as a "Supporter" without setting up any user account, simply enter an alias of your choice in the registration area for Supporters. We recommend using a fancy name or anonymous designation as alias. Please note that we cannot delete the data that you enter or that accumulate under the alias as a result of the participation in surveys, because we cannot identify you. Please also note that we cannot verify whether the alias has already been used. If you notice that surveys have already been participated in under the alias selected by you due to the presence of green checkmarks or half-filled circles in the status column, please select a different alias.
(4) Concerning the storage, visibility, forwarding, and use of your data as well as your rights, please read the following provisions in sections 4 to 8 of this Privacy Policy.

§ 4 Storage of Data in the Case of Interest or Participation in a Survey; No Forwarding to Third Parties

(1) When you participate in a survey, we will add this information to your user account or, in the case of Supporters, to your alias. We will also store the information on whether you completed the participation in the study and redeemed the associated Survey Code or whether you merely started participating.
(2) Moreover, we will add the information on the points that you collected by participating in surveys to your user account or, in the case of Supporters, to your alias. In the case of Supporters, we will also store the information in whose favor you collected the points. If you send points to Survey Managers as a Research Enthusiast, we will also store the information on whom you sent points to.
(3) For the users who are logged in, we will also store the bookmarked surveys.
(4) If you are registered as a Survey Manager, we will also add the information on the points sent to you and on who sent them to you to your user account. This applies even if the information on who sent the points to you is not visible to you.
(5) Concerning the visibility of your data to third parties, please read section 5 of this Privacy Policy.
(6) Unless we are under the obligation to forward your data by virtue of law or due to official orders, we will not forward your data to any third parties without your consent.

§ 5 Visibility of Your Data to Third Parties

(1) In the case of Survey Managers:
  • The data specified in section 3 (1), except for the email address (however, see (4)) and the password.
  • The data specified in section 3 (2). These data will remain visible even after the survey is closed.
  • Number of participants who have participated in the survey via SurveyCircle.
  • Your total points and the incentive points of your survey that are credited to users who participate in the survey.
  • The summary of the results of your survey, in case you provide them to us for publication on our platform. We will inform the participants of your survey who wish to receive this information.
  • If you wish, you can also have the rating of your survey displayed in the Survey Ranking (you can no longer change this setting upon completion of the survey).
  • The Survey Ranking also shows whether the survey participants consider the allotted time to complete your survey to be sufficient or not.
Following the registration, you will be publicly visible (i.e. even to unregistered users) as a Survey Manager with your first name, last name and country of domicile. After your survey is published in the Survey Ranking, all of the above-mentioned information about your survey will be publicly visible as well.
(2) In the case of Research Enthusiasts: If you wish, your data will only be visible to us. However, if you want to forward collected points, you can decide whether your name and email address are to be displayed to the Survey Manager whom you would like to support.
(3) In the case of Supporters: If you wish, your data will only be visible to us. However, every time you redeem Survey Codes, you can decide anew whether your alias and the survey for which you have received the points are to be displayed to the Survey Manager whom you would like to support.
(4) The email address is not displayed, except in the aforementioned cases. However, every user of SurveyCircle and everyone else who visits the website/platform (i.e. everybody) can enter a complete and correct email address in order to check whether a user is registered as Survey Manager under this email address with SurveyCircle and will subsequently be shown the other public data of the respective Survey Manager (see (1)).

§ 6 Redirection to the Surveys; No Data Exchange with External Websites

If you want to participate in a survey and click respective button, you will be redirected to an external website. Please check there how your data will be handled, as this is outside our scope of influence. We do not engage in any data exchange with the providers of these websites, i.e. we do not share your data with these providers. Moreover, we do not have any access to your input in the surveys. We merely learn of your participation in a survey when you redeem the Survey Code associated with the respective survey on our platform.

§ 7 Your Rights; Deletion of your Data

You are entitled to request information about your personal data that are stored by us. Additionally, as provided by the statutory regulations, you are entitled to the correction, blocking and deletion of your personal data. Moreover, you can delete your user account by clicking the respective button. The data created by your use of our platform will be stored permanently in anonymous form as far this is necessary for the operation of our platform (e.g. in order to count the points of Survey Managers and Research Enthusiasts). For deletion of data of Supporters, please read section 3 (3) of this Privacy Policy. To make use of your rights, please contact us.

§ 8 Survey Notifications; Right to Object to the Use of Your Email Address

Within your user account, you can decide which notifications you would like to receive. All notifications will be sent to the email address you specified when you set up the user account. You can disable individual or all notifications and object to receiving them without incurring any costs other than the transmission costs according to your provider's rates by simply removing the checkmarks in your user account and saving the settings.

§ 9 Data Security

The transmission of your personal data over the Internet is encrypted with SSL. We take technical and organizational measures to protect our website and other systems against loss, destruction, access, modification or distribution of your data by unauthorized persons.

§ 10 Cookies

(1) We use cookies for the purpose of optimizing our website. These little text files enable us to store specific information about you as a visitor to our website on your PC or other devices. For example, cookies help us to improve the security, to determine the frequency of use and number of visitors to our webpages, to analyze the usage behavior on our website and thus to estimate the advertising effectiveness.
(2) Session-Cookies: After your log in (with email address and password) we use so-called session cookies that enable us to identify you during your visit. These cookies expire automatically after the end of your session at our website.
(3) Persistent Cookies: We also use persistent cookies to save the information if you have given your consent to store cookies of SurveyCircle. Persistent cookies are also used by our web analysis tool (see section 12 of this Privacy Policy). These persistent cookies do not contain any personal data. The data that are stored in the cookies are never consolidated with your personal data.
(4) Log in-Cookies: We also use persistent cookies if you activate our feature „Remember me“. In this case a persistent cookie will be stored on the computer or mobile device which you use in this moment. In this cookie your log in data is stored in an encrypted form.
Right of Objection: You can prevent cookies from being set – thereby objecting to the creation of usage profiles – by deactivating the storage of cookies in your browser, by limiting this to certain webpages or by configuring your browser to inform you whenever a cookie is sent. Furthermore, you can always delete cookies from the hard disk of your PC or other devices. However, please note that the use of our platform is only possible in a limited way if cookies are rejected.

§ 11 Server-Log

For every page impression, the access data are saved to the server log. The saved data record contains the following details:
  • The date, the time, the file accessed, the status, the request that your browser sent to the server, the amount of data transmitted and the webpage from which you accessed the requested page (referrer) as well as
  • The product and version information of the browser used, your operating system and your country of origin.
After the end of the visit to our website, IP addresses of users are not stored, but are deleted or anonymized after the end of the use, unless any statutory retention obligations apply. In the case of anonymization, the IP addresses are modified in such a way that individual details about personal or factual circumstances can no longer be associated with an identified or identifiable natural person or in such a way that this would require an unreasonable amount time, cost and labor force.
We save the log data in anonymized form (i.e. without any allocation to or indications about your person). The server log allows us to detect possible errors, e.g. faulty links or software bugs. Thus, we can use the server log for the further development of our web pages. We never associate the use and page impressions that are stored in the server log with individual persons. We reserve the right to use data from log files if certain facts give rise to the suspicion that users use our websites and/or our services in an unlawful or non-contractual way.

Google Analytics uses cookies ‒ text files that are stored on your computer and that enable an analysis of your use of the website.
